Kandoo Realty Brokerage (“we”, “us”) respects your privacy. This policy explains what personal information we collect through this website and our client management system, why we collect it, who we share it with, and the choices you have. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL), and the privacy rules that apply to Ontario real estate brokerages.
What we collect
- What you send us: your name, email, phone number and message when you fill in a form (contact, showing request, home evaluation, mortgage enquiry, landing pages), and anything you tell us about the home you want or the home you own.
- Your account: if you create one, your sign-in details, the homes and searches you save, notes you add, your email alert choices and the homes you view while signed in.
- Conversations: emails and text messages between you and our team, and messages you type into the chat on this website.
- Information from you or others in a transaction: details you give us when we help you buy, sell or lease, such as key dates and the property address, and feedback from showings.
- Lead and referral services: if you asked for real estate help on another website or service that passed your request to us, the details you gave there.
- Technical information: your IP address, browser type and the pages you visit, kept in our server logs for security, and the cookies described below.
Why we use it
- To answer your questions, arrange showings and provide real estate services you ask for.
- To send you listings, saved-search alerts, price-drop alerts and follow-up emails you agreed to, and updates during a purchase or sale you’re working on with us.
- To run our business: keeping records required of a brokerage, assigning your enquiry to the right agent, and improving our website.
- To keep the website secure and prevent fraud and spam.
We collect only what we need for these purposes. We do not sell your personal information.
Your consent and email or text messages
When you fill in a form you agree that we may contact you about it. We send promotional emails and texts only with your consent, and every email has an unsubscribe link; reply STOP to any text to stop texts. You can withdraw consent at any time by using those links or contacting us, although we may still send messages about a transaction you’re in the middle of.
Who we share it with
Inside Kandoo Realty Brokerage, your information is seen by the agent helping you, our office staff and our Broker of Record. We share it outside only when needed to help you, when you ask us to, or when the law requires, for example with:
- Other parties in your transaction, such as the other brokerage, lawyers, lenders, appraisers and inspectors, when you ask us to or as needed to complete it.
- A mortgage professional we work with, if you contact them through our website or ask for an introduction.
- Service providers who run parts of our website and systems for us, under confidentiality obligations:
- our website and email host (Namecheap, United States);
- Anthropic, which provides the Claude artificial intelligence model that powers the website chat and helps our agents draft emails. Chat messages, and the client details needed to draft an email, are sent to Anthropic to produce a reply;
- OpenStreetMap (map images) and Cloudflare (website code libraries), which receive your IP address when your browser loads the map;
- Google Fonts, which supplies the website’s typeface; Google also supplies the reviews shown on our homepage (no visitor information is sent for this).
- Regulators, courts or police, when the law requires.
Some of these providers store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.

We don’t use advertising cookies or third-party tracking for advertising. You can delete cookies in your browser settings; the website still works, although you’ll need to sign in again.
How long we keep it
We keep your information while you’re working with us and for as long as needed for the purposes above. Records of real estate transactions are kept for the period Ontario’s real estate rules require. When we no longer need information, we delete it or make it anonymous.
How we protect it
Our website uses encryption (HTTPS). Our client system is available only to our team, each with their own password, and access to client files is limited to the people who need it. No system is perfectly secure, but we take reasonable steps to protect your information and will tell you if a breach puts you at real risk of significant harm, as the law requires.
Your choices and rights
You may ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it or stop contacting you. You can also delete your website account and saved searches from My account. We’ll respond within 30 days. If you’re not satisfied with our answer, you may contact the Office of the Privacy Commissioner of Canada.
Children
This website is meant for adults. We don’t knowingly collect information from anyone under 18.
Changes to this policy
We may update this policy as our services change. The date at the top shows when it last changed.
